PROCUREMENT GUIDE

How to Prepare an Industrial Automation BOM for Quotation

Build a clear request that a supplier can quote without guessing part numbers, quantities or delivery requirements.

Start with an exact identity

Use one line per manufacturer and complete ordering code. Preserve suffixes, punctuation and revision information. A family name such as M221 describes a range; it does not identify every ordering option. If a label is unclear, add a readable photograph and flag the uncertainty rather than shortening the code.

Separate mandatory items from alternatives

Include required quantity, unit of measure, destination and target delivery date. Identify lines where an exact match is mandatory and lines where an alternative may be reviewed. Keep optional accessories on separate lines so the quotation makes their inclusion clear.

Specify documents before quotation

State whether you need manufacturer documentation, inspection records or batch information. Availability depends on the supply channel and part. Agree these requirements before placing an order, together with packaging and any special handling requests.

Compare quotations line by line

Check that the offered manufacturer and full model match each requested line. Review quantity, included accessories, delivery assumptions and exclusions. Ask for a written clarification when a substitution or split delivery is proposed.
